2. Personal data we process
- the athlete’s full name, year of birth, gender, club or team, selected discipline and personal best,
- for relay teams, the team name, category, club and names of relay members,
- the registering person’s contact e-mail address and communication records,
- the payment identifier, amount, status and time; we do not store full payment card details,
- race results and, to a reasonable extent, photographs or audiovisual recordings from the public sporting event,
- the media consent choice, its wording version and language, date, name and role of the person giving consent, and any withdrawal,
- technical data necessary for the security and operation of the website.
3. Purposes and legal bases
We process data to receive and manage registrations, allocate athletes to heats, communicate with participants, arrange participation and process payments. The legal basis is performance of a contract and steps taken before entering into a contract. We retain data required for accounting and statutory obligations in accordance with applicable law.
We publish start lists and results to the extent customary for sporting competitions, based on our legitimate interest in organising the event properly and transparently and preserving its sporting history. Promotional use of identifiable photographs and recordings is covered by the separate voluntary consent described in section 8. You may object to processing based on legitimate interest.
4. Recipients of personal data
Where necessary, data may be shared with persons providing timekeeping, officiating, registration and technical event operations, hosting and database providers, e-mail service providers, accountants and the GoPay payment gateway provider. Data may also be disclosed to public authorities where required by law.
When a payment is made, GoPay also processes payment data in accordance with its own privacy rules.
5. Retention period
We retain contact and organisational data for as long as necessary to organise and settle the event, normally no longer than 12 months after it ends, unless longer retention is required due to a complaint or legal claim. Accounting and payment records are retained for the periods required by law. Start lists and results may remain publicly available as a historical sporting record.
6. Your rights
You have the right to request access to, correction or deletion of your data, restriction of processing and, where applicable, data portability. You may object to processing based on legitimate interest. Send your request to info@road2kona.cz.
You also have the right to lodge a complaint with the Czech Office for Personal Data Protection, Pplk. Sochora 27, 170 00 Prague 7, uoou.gov.cz.
7. Cookies and security
The website uses only technically necessary features required for its secure operation and administration. The payment gateway may use its own essential cookies when the payment interface is opened. We protect data using appropriate technical and organisational measures, and administration access is limited to authorised persons.
8. Photographs, video and drone footage — voluntary consent
The KNOWINSTORE Vladimír Korbel Memorial on 8 December 2026 will be photographed and filmed by a company commissioned by ROAD2KONA z.s., including drone footage. Recordings may capture participants’ likeness, voice and sporting performance.
The separate, initially unchecked box grants permission to take and use these recordings and, where GDPR applies, consent to the associated personal data processing. Its sole purpose is to present this event and promote future editions on the event website, the organiser’s social media and printed event materials, without remuneration, until 31 December 2027 at the latest or earlier withdrawal. It does not cover separate advertising by sponsors or the filming company.
Consent is not required to enter or participate in the race and refusal has no effect on the entry fee or registration. An adult athlete gives their own consent. For an athlete under 18, their legal guardian gives consent for that child. Registering a team does not itself authorise the captain to consent for other adults; each relay member’s choice is recorded separately.
You can withdraw consent at any time, without charge or giving a reason, by e-mailing info@road2kona.cz. Include the athlete’s name and, if known, discipline or team to help us find the record. Withdrawal does not affect the lawfulness of processing before withdrawal. We will stop further use based on that consent and remove the affected content from channels under our control. Copies already shared by others or distributed in print may not be fully retrievable.
The commissioned filming and technical service providers may access the recordings as needed to carry out the organiser’s instructions. Public web and social media posts can be viewed, copied and shared worldwide; social platforms process data under their own rules, potentially outside the EU. This consent does not authorise providers to use recordings for their own marketing.
Recordings used under this consent will be removed from the organiser’s promotional channels and working archive by 31 December 2027, or earlier following withdrawal. Evidence of the consent and its withdrawal is kept for the period of use and for three years afterwards to demonstrate compliance or resolve legal claims, with access limited to authorised persons.
Reasonable event reporting may be assessed separately under the reporting exceptions in sections 88–90 of the Czech Civil Code and, where GDPR applies, the appropriate legal basis. Not ticking the box is not blanket permission for promotional use, and it cannot guarantee absence from every general event shot. Tell the organiser or filming crew at the venue if you have concerns about being filmed. Any reporting use must respect privacy and the legitimate interests of the people shown.
